Service portal and digitalisation of internal requests

Replace informal request channels with a single point of entry, and approvals that leave a trace.

Context

A group organised across several sites, whose internal requests — support services, facilities, application requests — travelled by email and by telephone. No lead time could be measured, approvals depended on one person being available, and the same service could be requested in different ways depending on the site.

The challenge

To give the internal service offer a structure: set out what can be requested, define who approves what, make the status of a request visible, and produce dependable lead-time indicators — without making daily life heavier for the people asking.

What AXENEO did

The work we carried out

  1. 01

    Structuring the service

    • Inventory of the requests actually made, and construction of the service catalogue
    • Definition of approval circuits, delegations and escalations
    • Formalisation of the expected service levels and of the lead-time indicators
    • Catalogue governance and service life cycle
  2. 02

    Design and implementation

    • Design of the user portal and of the forms for each type of request
    • Task orchestration and automation of the repetitive actions
    • Integration with the reference data and the business applications concerned
    • Full traceability: history, evidence of approval, reporting
  3. 03

    Adoption

    • Support for the service teams and the approvers
    • Progressive rollout, one service family at a time
    • User feedback loop and adjustment of the forms

Results

What the set-up changed

Results are described qualitatively. We do not publish figures we would not be able to document.

  • A single point of entry for internal requests, identical across every site.

  • Explicit approval circuits, with delegation and automatic reminders.

  • Full traceability: every request carries its history and the evidence behind each decision.

  • Lead-time indicators by service family, usable for steering.

  • An extensible foundation: adding a new service calls for no development.
