Automation of a document handling process

Automate the extraction, checking and integration of an incoming document flow, with a dedicated route for exceptions.

Orderly document shelving, evoking a document flow to be handled in volume

Context

A back-office team handling a recurring incoming document flow by hand: receipt, reading, entry into the business application, checking, filing. The volume was high and steady, but a significant share of the documents presented edge cases that the standard handling did not cover.

The challenge

To automate the genuinely repetitive part of the process without pushing the burden onto the exceptions. The difficulty was not extracting data, but determining reliably which documents could be handled automatically — and routing the others to a human circuit without losing traceability.

What AXENEO did

The work we carried out

  1. 01

    Analysis and selection

    • Mapping of the process and measurement of the real volumes
    • Typology of the documents and analysis of how much the edge cases weigh
    • Simplification and stabilisation of the process before automating it
    • Criteria for eligibility to automatic handling
  2. 02

    Automation

    • Extraction and structuring of the data held in the document
    • Consistency checks and confidence thresholds
    • Integration with the business application, and logging
    • Exception circuit with human pick-up and traceability
  3. 03

    Operations

    • Supervision of the flow, alerting and quality indicators
    • Tracking of the automatic handling rate and of the reasons for rejection
    • Progressive extension of the perimeter, one document type at a time

Results

What the set-up changed

Results are described qualitatively. We do not publish figures we would not be able to document.

  • An automation perimeter bounded by explicit eligibility criteria.

  • An exception circuit owned, traced and properly tooled.

  • Supervision of the flow that makes quality drift detectable.

  • The ability to extend by document type, without rebuilding the whole set-up.
